Beyond Vibe Coding: Shipping AI-Powered Operations Tools That Last
How we built a generative AI billing hub in days, and why deterministic safety nets and mature platform engineering are what keep it alive in production.
EMBRIO.tech is a small company, but our monthly credit card statements run into the hundreds of individual charges across various cloud providers and SaaS subscriptions, often involving foreign currencies. While standard bank transactions sync automatically with our accounting software, Bexio, ensuring every single credit card transaction has a corresponding receipt and a correctly mapped entry used to be a highly labor-intensive pain.
We initially implemented visual workflow builders like n8n to automate the heavy lifting. It solved part of the problem, but we eventually hit a ceiling. Constant media breaks, the absence of a dedicated custom UI for human review, and rigid limitations around executing custom code motivated us to look for alternatives. The solution was to build our own.
The Modern Stack Multiplier
Within just a couple of days, our team built "Autobilling"—a bespoke, highly efficient financial reconciliation hub. The application ingests invoices via drag-and-drop or email forwarding, utilizes generative AI to extract payment amounts and dates, and maps them to known vendor IDs.
A custom React dashboard then allows us to upload CSV credit card statements, cross-reference transactions against open Bexio bills, and bulk-book confirmed payments while effortlessly handling exact rounding differences. Building a system this robust used to be a multi-month endeavor, but modern tech stacks and AI assistants act as a massive force multiplier, allowing teams to build highly tailored tools incredibly efficiently.
Pragmatic AI: The Deterministic Safety Net
Generative AI can deliver incredible value—even in strict, zero-tolerance fields like finance and accounting—but only if integrated correctly. Accounting requires 100% deterministic accuracy, while LLMs are inherently non-deterministic.
To solve this, we architected a strict boundary: we use AI exclusively for the messy, unstructured task of reading receipts and parsing emails, but we treat Bexio as the immutable, deterministic source of truth. The AI suggests the matches, but the human-in-the-loop UI highlights anomalies and requires final approval before anything is booked. It is the perfect marriage of AI efficiency with a deterministic safety net.
The Hidden Iceberg of "Vibe Coding"
With AI assistants accelerating development, "vibe coding" is a fantastic new reality. Prototyping is faster than ever, and it is tempting to view application development as a quick hackathon where you write a script, run it, and consider the job done. But while the application code is the visible tip of the iceberg, making a lasting business impact requires much more.
Security and Integrations
When building workflow tools that connect to mission-critical systems like bank data and accounting software, handling API keys and credentials securely is paramount. A poorly secured internal tool quickly becomes a new attack surface.
Infrastructure and Deployment
Vibe-coded applications have a notorious habit of running flawlessly on a developer’s laptop, only to hit a brick wall when moved to production. A script executing locally is fundamentally different from a highly available service running in the cloud. Transitioning requires configuring secure networking, handling automated database migrations, and establishing reliable logging. Without a solid deployment architecture, speed is quickly lost to runtime crashes.
The Lifecycle Mentality
Engineering software is not a "build once, run forever" task. Software is like a plant: it grows, adapts to new conditions, and requires ongoing maintenance. The fast, AI-assisted development phase must be backed by an iterative process of design, automated testing, secure deployment, and continuous monitoring. Avoiding this full lifecycle mentality turns a rapid prototype into a long-term technical debt nightmare.

When off-the-shelf SaaS tools or visual automations become bottlenecks rather than accelerators, building custom operations tools is a highly effective strategy to reclaim efficiency. The barrier to entry is lower than ever.
